I provided secretarial and administrative support to the General Manager’s Office. In my 1) I.T.: Familiar with Microsoft office; 2) Car driving (Full driving license) 3) swimming player for University team 4) Chinese Chess 5) Women’s Karate Club work, I had a thorough knowledge of company policies, procedures, and priorities. I planed accordingly and respond to inquiries from the public and private sectors. I also anticipated changing priorities and adapted work plans in order to manage the multi-task aspects of the position. Exercising good judgment and initiative, I took independent action to resolve issues as they arose. The main duties with the corresponding percentage of time spent on each activity are listed below: 40% Secretarial Support: I provided general secretarial support for the General Managers which includes, but is not limited to, preparing correspondence and reports from rough draft, dictation, or verbal direction. I screened and priorities the incoming correspondence for the General Managers and, when appropriate, refers it to other staff members for reply. I also follow-up on the outcome to assure a timely response and arranging correspondence for the director's personal reply in order of priority, attaching back-up material from files, researching and collecting memos of previous actions and other materials needed for the reply. I also reviewed outgoing correspondence for the General Manager s’ for accuracy, format, and consistency with Company policies and procedures, signing outgoing correspondence for the General Manager’s Office as delegated. I provided assistance as requested such as compiling packets of information on transportation subjects, obtaining reports and publications, and preparing and summarizing information as needed. Answering and screening incoming telephone calls to the General Managers, I identified the nature of the call to determine if it should be referred to other staff members. I provided information on established policies, procedures, and programs; arranging and coordinating conference calls. (Telephone contacts include the government; the companies headquarters) Another duty was making travel arrangements including accommodations and airline reservations and preparing travel expense claims for the General Manager’s Office. I also prepared travel expense claims for the members. Maintaining and updating the members of General Managers’ appointment calendar and arranging meetings and conferences was another duty. As well as keeping all materials and files for such meetings organized for the General Managers. 60% Administrative Support: I independently prepared correspondence and brief reports in response to requests for information as necessary in order to relieve the General Managers of routine tasks. Another duty was assembling and reviewing all monthly billings and invoices and ensuring that they were submitted to General Services within prescribed timeframes to avoid service disconnections and loss of credit privileges. Planning, directing, and supervising all clerical functions associated with the Annual Report to the General Manager’s Office was another duty. I made arrangements for graphic art work, printing, binding, and distribution; maintaining cost and distribution records for this publication. Under direction, I prepared the Consent Calendar for presentation and action at Company meetings. I also prepared and submit the Commissioners Meeting Allowance for approval of the full commission; processing the members of General Manager’s Office compensation, and maintaining compensation records. Attending Company meetings (which were held at various locations) as needed was another duty. I also coordinated arrangements for appearances before the Commission when requested by private citizens during the Company meeting; and respond to the requests from the members of General Manager’s Office as they occur during the meeting. |
